A mission call is an exciting moment for any family — and for many, it comes with a stack of documents to organize, notarize, and submit on a timeline that moves faster than expected. Hazelnut Notary Services provides mobile notarization, apostille processing, ink fingerprinting, and visa photos for missionaries serving internationally — bringing everything to you so you can focus on preparing for the mission itself.

We serve missionaries and their families throughout the East Valley, including Queen Creek, Gilbert, Mesa, Chandler, and San Tan Valley. We also process apostilles for missionaries in other states by mail, and all notarizations are available remotely via our Remote Online Notarization service regardless of where you are located.

Why Document Timing Matters for Missionaries

The visa process for many countries takes 6–8 weeks, and documents should be submitted at least two months before the scheduled MTC entrance date. That window is shorter than most families realize when the mission call arrives. Birth certificates need to be ordered, background checks processed, documents notarized, apostilles obtained, and in some cases translations arranged — all before the visa packet can be submitted.

Starting this process the moment a mission call is received - or even before - gives your missionary the best chance of having everything in order before their report date.

Documents Commonly Required for Missionary Visa Packets

Requirements vary by country and are determined by the Church Travel Office based on the destination mission. The most commonly required documents include:

Birth Certificate — Certified Copy with Apostille

Most countries require a certified copy of the missionary's birth certificate, apostilled for international use. The certified copy must come from the vital records office in the state where the missionary was born — not a hospital-issued copy. We handle the apostille once you have the certified copy in hand, or we can advise on how to order one.

Passport Photos — Visa Format

Most missionary visa applications require one or more passport-style photos in color, front view, full face, with a light background. Requirements vary by country and visa type. We take properly formatted visa and passport photos on location in the East Valley. It is the client's responsibility to confirm their destination country's specific photo requirements before the appointment.

Background Check — Local Police Clearance with Apostille

Some countries require a criminal background check or police clearance letter as part of the visa application. We can assist with obtaining a local law enforcement clearance letter, notarizing it, and processing the apostille through the Arizona Secretary of State. Note that FBI background checks require federal processing through the U.S. Department of State — contact us and we will advise on the correct path for your missionary's destination country.

Single Status Affidavit — Notarized

Some countries, particularly in Latin America and parts of Europe, require a notarized single status affidavit confirming the missionary is unmarried. We notarize this document once it has been fully prepared and completed — but not signed — by the client.

Notarized Authorization or Affidavit Letters

Depending on the destination country, additional notarized letters may be required — including parental consent documents for missionaries under 18, financial affidavits, or letters confirming religious affiliation. We notarize all standard missionary document types once they are fully completed by the client or their legal representative.

Power of Attorney

Missionaries serving abroad for 18–24 months are often advised to have a power of attorney in place so a parent or trusted family member can handle financial, legal, and medical matters while they serve. A General Power of Attorney is worth considering — it allows parents to handle unexpected needs that arise during the mission. This is something to discuss with an attorney before your missionary departs. We notarize the document once it has been prepared.

We process apostilles for documents issued in Arizona and all 50 states. If your missionary was born in another state, we manage the submission to the correct Secretary of State by mail. Our 24-hour processing option is available for Arizona documents when time is critical. Processing time begins once we receive your original documents and does not include return delivery time.

Ink Fingerprinting — East Valley
$0.00

We provide ink fingerprinting for missionaries in the East Valley where required for background checks or visa applications. Available as part of your missionary document package or as a standalone service. $50 per session.

Remote Online Notarization (RON)
$0.00

All notarization services are available remotely via secure video. Missionaries at college in another state, family members living outside Arizona, and international clients can all complete their notarization without travel. RON is available anywhere in the United States and internationally with an internet connection.

Mobile Notarization — East Valley

We come to you. If your document requires notarization before it can be apostilled — such as a single status affidavit, authorization letter, or personal affidavit — we provide mobile notarization throughout the East Valley.

Mobile Visa and Passport Photos — East Valley
$0.00

We take properly formatted visa and passport photos on location in the East Valley. It is the client's responsibility to confirm their destination country's specific photo requirements before the appointment. $50 for 2 photos.

Important: We notarize — we do not prepare documents. As a commissioned Arizona notary public, our role is to notarize documents that have been fully prepared by the client or their legal representative, and to process the apostille once notarization is complete. Documents must be fully completed but NOT SIGNED before your notarization appointment. The notary must witness your signature.

Apostille Service Pricing

  • 2–4 missionaries booking together — 10% off apostille service fee. No family relationship required. Mail-in available.

  • 5 or more missionaries booking together — 20% off apostille service fee. Processed as an in-person for East Valley bookings or coordinated mail-in for out-of-state groups. Each family invoiced individually.

Document requirements vary by country

 

The documents required for a missionary visa packet are determined by the destination country and provided by the Church Travel Office or equivalent organization for your faith community. We work with those instructions to confirm what notarization and apostille services are needed. We do not determine document requirements — that is the role of your organization's travel department.

 

Not all countries are Hague Convention members

 

Most major mission countries in Europe, Latin America, and Asia are Hague Apostille Convention members, including Germany, Italy, Spain, France, Mexico, Brazil, the Philippines, and South Korea. Some mission destinations are not Hague members and require a different authentication process. We will advise on this during your document review at no charge.

Visa applications for many countries take six to eight weeks, and documents should be submitted well before the MTC report date. Processing time for apostilles begins once we receive the original documents and does not include shipping time. The earlier you register, the more service options are available to you.

 

An apostille itself has no expiration date. However, some countries require that the underlying document be recently issued. Confirm with your travel coordinator whether a fresh certified copy of the birth certificate or other vital record is required before we begin processing.
