For employers — why using a trained authorized representative matters
When you hire a remote employee who is not located near your office, federal law requires you to designate an authorized representative to physically inspect the employee's original identity documents and complete Section 2 of Form I-9 on your behalf. Under USCIS guidelines, an authorized representative can technically be any person the employer designates — but the employer remains fully liable for any violations or errors made by that representative.
Asking a friend, neighbor, or family member of the new employee to act as your authorized representative is a common shortcut — and a significant compliance risk. An untrained representative may complete the form incorrectly, accept invalid documents, or make errors that cannot be corrected after the fact.
I-9 compliance fines: Civil fines for I-9 paperwork violations range from approximately $281 to $2,861 per violation, with fines increasing for repeated violations. Hazelnut Notary's trained, professional service protects your business from avoidable penalties.
Robyn Hazeltine is an experienced, NNA certified notary public and professional authorized I-9 representative. Every Section 2 completion is handled accurately, professionally, and in full compliance with current USCIS requirements — giving your HR team confidence that the job was done right.
For HR departments and hiring managers: We work directly with your team to coordinate the employee appointment, confirm document requirements in advance, and return the completed I-9 to you promptly. Contact us to discuss volume pricing for companies with multiple remote hires in our service area.
For remote employees — what to expect at your I-9 appointment
If your employer has arranged for Hazelnut Notary to complete your I-9 verification, here is exactly what happens at your appointment:
What documents do I need to bring?
You must present original, unexpired documents — photocopies are not accepted. Choose one of the following combinations:
One List A document — establishes both identity and work authorization. Examples: U.S. passport, Permanent Resident Card, Employment Authorization Document.
OR one List B document + one List C document — List B establishes identity (driver's license, state ID), List C establishes work authorization (Social Security card, birth certificate).
A complete list of acceptable documents is available on the USCIS website or on the last page of Form I-9. If you are unsure which documents to bring, contact us before your appointment and we will help you confirm.
