Remote Online Notary (RON)
Secure, legally recognized notarization from anywhere
-
Remote Online Notarization (RON) allows you to get documents notarized entirely online via a secure audio-visual session, without ever meeting in person. The notary verifies your identity through knowledge-based authentication and credential analysis, then witnesses your electronic signature in real time. The resulting document carries a digital notary seal.
-
Yes. Remote Online Notarization is legally recognized in most U.S. states. Laws vary by state, so some document types or receiving jurisdictions may have specific requirements.
-
You need a computer, tablet, or smartphone with a camera and microphone, a stable internet connection, a valid government-issued photo ID, and the document to be notarized in digital format. Our platform guides you through identity verification before connecting you with a notary via live video.
-
Identity verification for RON uses multi-factor authentication, including knowledge-based authentication (KBA) questions drawn from public records, and credential analysis of your government-issued ID. This process meets or exceeds the security standards of traditional in-person notarization.
-
Many real estate transactions, including refinances, deeds, and closing documents, can be completed via RON. Acceptance depends on the lender, title company, and county recording office involved. We recommend confirming with your lender in advance.

Apostille Service
International document authentication for use abroad
-
An apostille is a form of international authentication recognized by the 1961 Hague Convention. It certifies the authenticity of a document's signature, seal, or stamp so it will be accepted in foreign countries that are members of the Hague Convention. You may need an apostille for documents such as birth certificates, marriage certificates, diplomas, power of attorney, and corporate documents when using them abroad.
-
Common documents that require apostille authentication include birth, death, and marriage certificates, divorce decrees, adoption papers, academic transcripts and diplomas, notarized affidavits, corporate documents, FBI background checks, and powers of attorney intended for international use. The document must first be properly notarized or certified before the apostille can be attached.
-
We guide you through each step. First, your document may need to be notarized or certified by the appropriate authority. Then we submit it to the correct state or federal office (such as the Secretary of State) for the apostille stamp. Once issued, the apostille is attached to your original document, making it valid for international use.
-
Processing times vary by issuing authority. State-level apostilles through the Secretary of State typically take 5 to 15 business days, though expedited processing is sometimes available. Federal apostilles from the U.S. Department of State may take longer. We keep you informed throughout the process and work to meet your deadline whenever possible.
-
Each state has its own Secretary of State office responsible for issuing apostilles, and we handle the coordination on your behalf.
I-9 Employment Verification
Authorized representative services for remote employees
-
Form I-9 is required by the U.S. Citizenship and Immigration Services (USCIS) for all employees hired in the United States. It verifies an employee's identity and authorization to work. Employers are legally required to complete and retain a Form I-9 for every employee, and failure to comply can result in significant fines.
-
When a new employee is located in a different city or state than the employer, a trusted authorized representative can complete Section 2 of the I-9 on the employer's behalf. This is especially common for remote and hybrid workforces. Hazelnut Notary acts as your authorized representative, physically inspecting and verifying the employee's original identity documents.
-
Employees must present original, unexpired documents from the USCIS List of Acceptable Documents. A List A document (such as a U.S. passport) satisfies both identity and employment authorization. Alternatively, one List B document (identity) combined with one List C document (work authorization) such as a driver's license and Social Security card.
-
Yes. We offer flexible scheduling including same-day appointments to meet hiring deadlines. Employers must complete Section 2 of the I-9 no later than the employee's first day of employment, so timely service is critical. We make it easy!

Mobile ink fingerprinting
Professional rolled ink prints for background checks and licensing
-
Mobile ink fingerprinting is a professional fingerprinting service where a trained technician comes to your location to capture rolled ink impressions on standard fingerprint cards. Ink fingerprinting produces physical cards that are required by certain agencies, licensing boards, and government offices — and we bring everything needed directly to you.
-
Ink fingerprinting is commonly required for professional licensing applications (real estate, healthcare, law, insurance), federal and state background checks, FBI clearances, immigration and visa applications, adoption proceedings, firearm permits, and volunteering with organizations that work with children or vulnerable adults. Many agencies specifically require the standard FD-258 fingerprint card format, which we provide.
-
The FD-258 is the standard fingerprint card issued and accepted by the FBI and most state agencies. It captures all ten rolled fingerprints and flat impressions in a specific format. Many licensing boards, government agencies, and background check services require this exact card. Hazelnut Notary uses official FD-258 cards and follows proper rolling techniques to ensure your prints are accepted the first time.
-
Ink fingerprinting produces physical card impressions using ink, which are then mailed to the requesting agency. Live-scan fingerprinting captures digital impressions electronically and transmits them directly. Some agencies - especially federal offices, out-of-state licensing boards, and international organizations - only accept ink fingerprint cards.
-
The number of cards depends on your specific application. Many agencies require two completed FD-258 cards, while others may need one or three. We recommend confirming the exact quantity with the requesting agency before your appointment.
-
For the best print quality, avoid heavy lotion or oils on your hands for at least an hour before your appointment. Have a valid government-issued photo ID ready, along with any pre-printed fingerprint cards your agency may have already provided. If your agency requires specific information on the card header (ORI number, agency name, etc.), gather that information in advance and we will fill it in correctly.
-
Absolutely. We offer on-site group fingerprinting sessions for businesses, schools, healthcare facilities, nonprofits, and other organizations that need to fingerprint multiple staff members or volunteers at once. Group scheduling is efficient and cost-effective - contact us to arrange a dedicated session at your location.
